General Questions about the TRR228

• What is the TRR228DB?Click to expand/collapse
  The TRR228DB is the project database of the DFG-funded Transregional Collaborative Research Centre 228. The TRR228DB offers several functionalities as a centralized data management repository, sustainable storage, backup and provision of CRC/TRR228 data for all project participants.
  Furthermore, the option for researchers to add adequate metadata to their project data, specific to the type of data and the CRC/TRR228 context is provided. In addition to measured project data and purchased (geo-)data, publications, reports, pictures and presentations by the TRR228 participants are also managed.
  All features, such as representation and search of data via metadata are accessible online. Due to licence constraints, some functions are only available for authorized users. This includes download of data, as well as input and modification of corresponding metadata.
  
• What is the aim of the TRR228 database and why is it important within the Transregion 228?Click to expand/collapse
  In every interdisciplinary, long-term research project it is an important task to manage the resulting research data. Usually project participants create a lot of different, heterogeneous data. The aim of the TRR228 database is to provide a secure, stable, sustainable and backed up storage of this TRR228 project data with corresponding metadata to make them re-usable and facilitate sharing, e.g. with other project participants or for future studies in another context.
  
• How do I store my data in the TRR228DB?Click to expand/collapse
  1. You need an account to upload data. If you don't have one, please contact the TRR228DB admin: trr228db-admin@uni-koeln.de
  2. Before uploading, organize your data locally. Make sure it is sorted and has a meaningful title, then compress it.
  3. Upload your data to the TRR228DB. If your dataset is larger than 100 MB, you have to upload your data to the TRR228DB storage via an FTP client like WinSCP or FileZilla. For smaller datasets, please use the 'Small Data Upload' on the TRR228DB website. Further information how to upload data is provided in the 'Help and Tutorials' section.
  4. Add metadata to your uploaded data by filling in the metadata form through the TRR228DB web interface.
     Please note: For datasets larger than 100 MB it usually takes up to a day for metadata editing to become available because the file needs to be processed on the server overnight.
• How long will the data be available in the TRR228 database?Click to expand/collapse
  The data will be stored during the project activities and up to 10 years after the project is finished.
  
• How can I search for data in the TRR228DB?Click to expand/collapse
  The TRR228DB has various functions to search for data.

  • Advanced Search: Allows you to filter the available data according to various criteria, giving very specific sets of results. Multiple filters can be used, so you can further refine searches as you require.
  • Map Search: This map-based search function allows you to search for datasets by their geographic location. Those without a geographic location cannot be searched for on the map.
  • Browse by Topic: Gives a list of all available datasets according to the chosen topic.
  • Browse by Type: Shows a list of all available datasets according to the TRR228 data type categories.
  • Browse by Region: This section gives an overview of the available TRR228 measurement regions. Selecting a site creates a list of all related datasets.
  • Browse by Phase: Search option to find datasets regarding to their funding phase.
  • Browse by Cluster: This section gives an overview about current and former TRR228 cluster groups and project sections. Selecting a cluster lists all available data of this project group.

• Can I download metadata information to my citation management software?Click to expand/collapse
  Yes, citations are downloadable in two generic formats: RIS (compatible with software such as EndNote, Reference Manager, ProCite, and RefWorks) and BibTex (compatible with software such as LaTeX and BibDesk).

Accounts

• Who is allowed to apply for an account and what must I do to get an account?Click to expand/collapse
  Only TRR228 participants are allowed to apply for an account. Please contact the TRR228DB admin for further information.
• What can I do if I have forgotten my password?Click to expand/collapse
  The database uses accounts from the Regional Computing Centre of the University of Cologne. Therefore, we are not able to reset your password. In case you forgot your password, please use the University of Cologne's identity management system to reset it. You need to accept the User Agreement and then use the 'Forgot Password' function.

Dataset Upload

• What should I consider primarily before uploading a dataset?Click to expand/collapse
  • You are strongly encouraged to process your data before uploading.
  • If you have a large amount of small files (for example regular measurements taken over a long period of time), create a logical folder structure and compress them. This reduces hassle for everyone involved.
  • All files should be sorted and have meaningful names. For the sake of automatic processing, avoid using special characters (such as &, #, é, ü, ...) and spaces in your file names. Files should also be compressed using a common archiving format (.zip, .gz, ...).
    For example 'temp_march_2017.zip' is much easier to process than 'temp märz 2017.txt'.
  • Please make sure that you provide only well-documented data with all relevant details to make the dataset as interpretable and reusable as possible. This is also in your interest since it encourages others to reuse and cite the original work. For more complex datasets it is recommended to create an additional pdf file with further descriptions of the dataset.
  • Please be aware before upload that your data follows the rules of our TRR228DB data policy agreement. All data must be prepared following applicable legal and ethical guidelines.
• What is (sensitive) personal data and what should I consider before uploading such data to the TRR228DB?Click to expand/collapse
  Personal data means any information that can be used to uniquely identify a natural person, either directly or indirectly. This includes also different pieces of information, which collected together can lead to the identification of a particular person. Within the General Data Protection Regulation (GDPR) this includes one or more of the following information:

  • Name
  • Address or other location data
  • Phone number
  • IP Address
  • Photos

  Furthermore, certain personal data is considered as particularly sensitive. It requires specific protection when it reveals information that may create important risks for the fundamental rights and freedoms of the involved individual. Examples of sensitive categories of personal data are:

  • Racial or ethnic origin
  • Political opinions or memberships
  • Religious or philosophical beliefs or affiliations
  • Trade union memberships
  • Sexual orientation or practices
  • Criminal records
  • Health information
  • Genetic or biometric information

  There may other data which contains sensitive personal information which does not fall under the listed categories.
  Please note: Before uploading a dataset to the TRR228DB please ensure that all personal data identifiers are removed, generalised, aggregated or distorted! The handling of (sensitive) personal data needs special attention. All personal data must be properly anonymized and prepared under applicable legal and ethical guidelines. It must be ensured that a re-identification of an individual person is not possible with your data. Before submitting a dataset to the TRR228 database please choose your access permission setting carefully to make sure that your data can only be accessed by those authorized to do so.
• What type of data can be uploaded?Click to expand/collapse
  All types of data can be uploaded. However, please compress the data, in particular if you have collected a lot of similar, small files. Additionally, try to use a common and standard file format. Everyone knows what to do with a .pdf or .txt file. Many people don't know what a .zht file is.
• Where is my uploaded data stored?Click to expand/collapse
  Your data is stored and backed up on servers of the Regional Computing Centre of Cologne (RRZK).
• How can I upload my datasets to the TRR228DB?Click to expand/collapse
  • Datasets which are smaller than 100 MB can be uploaded via the 'Upload Small Data' function in the 'User Home'.
  • Larger datasets must be uploaded to the TRR228DB storage via FTP-Client-Software like WinSCP or FileZilla.
• What program do I need to upload larger files to the TRR228DB?Click to expand/collapse
  You need an FTP client like WinSCP (Introduction) or FileZilla (Documentation).
• Are there any file size limitations when uploading datasets to the TRR228DB?Click to expand/collapse
  The limit for a single dataset is 8GB. If the size of your data exceeds this limit please contact the TRR228DB admin.
• Is it possible to delete or change uploaded datasets?Click to expand/collapse
  You cannot change or delete your datasets. If you want to remove one of your uploads, contact the TRR228DB admin.
• I have uploaded a dataset but can't find it on the TRR228 website. What happened?Click to expand/collapse
  For each uploaded data file metadata information must be added through the TRR228DB web interface. Only then will the upload be visible. To add metadata, log in and go to 'User Home', click on 'Insert Metadata' and select the corresponding dataset from the list.
  Please note: Files larger than 100MB need to be processed on the server overnight and it takes until the next day for metadata editing to become available.
• What is meant by the different data type categories and which one should I choose for my dataset?Click to expand/collapse
  You have to pick one of the five available data type categories before uploading a dataset. Depending on your choice, some metadata options to describe your dataset will be different. Here is a brief overview over the options you can pick:

  • Data: This datatype encompasses all types of created/collected/measured/modelled data. Some examples are sets of observed data (sensor readings, human observations, transcripts, survey results, ...), experimental data (such as data collected from a laboratory experiment), simulation data (such as might be produced by climate/economic/biogeochemical models), geospatial (GIS) data, programming code or audio recordings. This type can be used both for raw and processed datasets.
  • Report: This type covers textual documents such as PhD reports, master's or bacherlor's theses, project proposals, reviews, documentation, guidelines, etc.
  • Presentation: This covers anything that can be presented at a conference. In addition to slides from a talk, this also includes posters.
  • Publication: Textual documents which are published in a scientific journal, book or conference proceedings.
  • Picture: This includes all visual datasets, like videos and pictures.
• What is the difference between Data Upload and the Temporary Data Share?Click to expand/collapse
  The data upload is the central service of the TRR228DB and enables a persistent storage of data within the database. To take advantage of this feature, please use the 'Upload Small Data' function in the 'User Home' section on the website (for files smaller than 100MB only). If your file exceeds the 100MB file size limit, please store your data via FTP-Client-Software (WinSCP or FileZilla) in the corresponding subfolders under Upload_X.
  Please note: After data upload the input of metadata to describe the data is mandatory. Otherwise the dataset is not visible and accessible for others on the website. To add metadata after a successful upload, go to 'User Home', click on 'Insert Metadata' and select the corresponding dataset from the list.
  The temporary data share is an additional service for a secure exchange of files with other project members of the CRC. It is intended as an internal short term data exchange only. No further descriptions of the dataset is possible here. To exchange data please use the Share folder via FTP-Client-Software.
  Important: Please do not use this for a long term storage of datasets and remove your files from the Share folder after completion of exchange.

Metadata Input

• What is metadata?Click to expand/collapse
  Metadata is data that contain information about a corresponding dataset. Literally, it is data about data. It summarizes information and descriptions of a dataset. For example: who is the creator of the data, when was the dataset created or what is the file format. The metadata enables search and categorization of all project data and should be as detailed as possible as this is essential to make it findable and reusable. The ability to filter through detailed metadata makes it much easier for someone to find specific data.
• What metadata is needed and how can I describe my data?Click to expand/collapse
  Elementary metadata (such as file size) is created automatically, but most metadata information has to be entered into the metadata editor manually by the user. It is strongly recommended to describe your data in as much detail as possible to raise its visibility and make it interpretable and reusable for other users. The metadata editor marks required fields that do not contain correct information. You are also able to upload additional information in a pdf file for individual and more detailed descriptions of your data.
• What metadata can be added to a dataset?Click to expand/collapse
  Basically, metadata elements of the qualified Dublin Core Metadata Element Set (DCMES) were chosen to describe the data. In addition, the data can be described with properties which correspond to the data type and the background of the TRR228.
• Where can I insert metadata to my uploaded data?Click to expand/collapse
  All uploaded files with no corresponding metadata are listed in 'User Home' under 'Insert Metadata'.
  Please note: For data files which were uploaded to the TRR228DB data storage via an FTP client the metadata input is possible one day after the file upload to the data storage at the earliest.
• What can I do if my metadata is not submitted successfully after I edited it?Click to expand/collapse
  The editor will mark fields that have an error. You should only be able to submit metadata that is complete and correct. If you cannot submit metadata despite this, contact the TRR228DB admin.
• Is it possible to edit metadata of a dataset at a later time?Click to expand/collapse
  Yes, you can edit the metadata of your datasets by choosing the 'Edit Metadata' Button on the metadata overview page.
  Please note: You are only allowed to edit the metadata of your own datasets.
• Is it possible to export the metadata information of a dataset?Click to expand/collapse
  Yes, you can download the metadata as an XML file on the metadata overview page. You may export the metadata conforming to different standards (ISO 19115, INSPIRE) just as in the TRR228DB schema. Please note that a DOI must have been applied for the dataset for an export conforming to DataCite.
• How can I add creators to my datasets?Click to expand/collapse
  To insert an existing creator, begin typing their name into the field in the metadata editor under 'Responsible Party', then choose the right creator from the list of suggestions. To add more creators, click on the button 'Add' to generate more input fields for creators. In case the creator is not available in the list, use the option 'Insert New Creator' in the metadata editor to add a new creator. After filling in all necessary information and clicking on 'Submit' the creator will now be selectable in the list.
• How can I add a new creator and/or institution to the database?Click to expand/collapse
  Before adding a new creator or institution please make sure that it is not available in the database yet. A list of all available creators can be found here. A list of all available institutions can be found here. Simply start typing the name you want to insert in the corresponding field, and if we don't have the name in our database, select the 'Insert' option at the bottom of the list and input all necessary information. After clicking on 'Submit' the creator will be added to the list. To enter an existing institution please begin typing the name of the institution and choose it from the autocompleted list. In case the institution is not listed choose 'Insert new Institution' and enter its information into the input fields.
• How can I add new keywords to the TRR228DB?Click to expand/collapse
  You are not able to add keywords on your own. Please contact the TRR228DB admin if you need any new keywords.
• How can I associate my data with a published paper?Click to expand/collapse
  In the metadata editor you can add the DOI or URL link of a paper as a relation in the 'Identification' tab. Afterwards the link to the associated paper is easily accessible for other researchers on the metadata overview page of your dataset.
• What is (sensitive) personal data and what should I consider before uploading such data to the TRR228DB?Click to expand/collapse
  There are six predefined topics available for a thematic categorization of TRR228DB datasets. When you upload data to the TRR228DB please choose the topic which fits best for your dataset. Each topic contains the following themes as described below:

  • Agriculture: All datasets about the economy and ecology of land cultivation and breeding of animals should be related to this topic. This includes also data about agricultural Land Use (Change) patterns, as well as land, soil and water management for agricultural production.
  • Ecology: This Topic contains all scientific study about impact and consequences of human – environmental interactions. Also research data from corresponding category groups such as Vegetation and Soil Sciences, Land Use/ Land Use Change, Land Conservation, Health Sciences, Virology, Species Invasion should be grouped into this topic.
  • Economy: All data about economic processes in its social context in relationship to other social, political, demographic, ecological and spatial processes should be related to this topic.
  • Infrastructure: For all datasets about infrastructural projects, such as (renewable) energy, health infrastructure, this topic should be chosen.
  • Politics: All research about political economies, governance as well as political conflicts and violence should belong to this topic.
  • Society + Culture: This topic should be the right choice for all datasets about interactions and cultural behaviour of social groups.

Dataset Download

• How can I download data from the TRR228DB?Click to expand/collapse
  You can download data by clicking on the 'Download Data' button on the metadata overview page of the corresponding dataset. Please keep in mind that some datasets are only downloadable for authorized users due to dataset restrictions.
• Which download permissions are available in the TRR228DB?Click to expand/collapse
  There are three download permissions available:

  • Free: All visitors of the TRR228DB are able to download the data.
  • Only TRR228: Only Members of the TRR228 Project who are logged in with an account are authorized to download the data.
  • Only own Subproject: Only Members of your own Subproject who are logged in with an account are authorized to download the dataset.
• I'm just interested in a restricted data file. Can I get it without an account?Click to expand/collapse
  Please contact the author of the data. You are able to find further contact details by clicking on the name of the author.
• What possibilities do I have to get more information about a dataset before downloading it?Click to expand/collapse
  General information of each dataset is provided on the metadata overview page. Depending on the dataset more information is provided there in terms of:

  • Additional PDF: Some datasets have a downloadable PDF file which contains further descriptions of a dataset. This file must be created and provided by the dataset creator.
  • Image preview function: For picture and video datasets an image/video preview function is available on the metadata overview page.
  • File list: For datasets in archives (like .zip or .rar) a list is available which shows all included files of the dataset. Moreover, you are able to download single files from the dataset via the file list.

Data Citation Guidelines

• What are the data citation principles of the TRR228DB and why is it important to cite data?Click to expand/collapse
  The citation of data should be accorded the same importance as citations of other research objects, such as publications. To support good research practice, they should be considered as legitimate citable products of research and cited when used in any published or unpublished work. The citation of data should give credit and legal attribution to the work of all contributors of a dataset. For general access and use conditions, please consult the licensing terms for the dataset you wish to reference.
  Furthermore, it is important to enable reproducibility of research findings and to find ways to make data available and preserve it for long-term use by future generations of researchers. Citations in bibliographic information allow others to find and reuse data and support an efficient research progress. Data producers and others can track citations to specific collections to determine types and levels of usage of their data. If you use any data you downloaded from the TRR228DB website in published or unpublished work, please include attribution for the resources you use.
• Which information should be included when I cite data from the TRR228DB?Click to expand/collapse
  All necessary information to cite data properly will either be found within the resource itself, or listed on the metadata overview page of the corresponding dataset in the TRR228DB. Because the datasets in TRR228DB have various types and sources, there is no universal type of citation. However, the content of your citation should include at least the following information:

  • Contributing authors/data creators
  • Year of publication
  • Title of dataset
  • Publisher/distributor of dataset
  • Unique identifier of dataset (URL or DOI)

  On the TRR228DB we provide for every dataset a standardized citation advice to make it easier for researchers to cite datasets and get credits for their data. When you submit data to the TRR228DB the citation advice is generated automatically from the metadata information of the dataset.

  There are many different ways of citing resources from your research. For every dataset in the TRR228DB a citation advice is provided in the metadata overview page. It includes a generic citation string with all necessary information for each dataset. You can also choose between different citation styles of various academic journals. Please keep in mind that individual journals may have specific guidelines for how to cite data.

TRR228DB DOI

• What is a DOI?Click to expand/collapse
  A Digital Object Identifier (DOI) is a unique persistent alphanumeric identifier assigned by a registration agency (the International DOI Foundation) applied to a specific piece of intellectual property such as a scientific paper or a dataset. It differs from other commonly used identifiers such as the URL, because the DOI identifies an object itself and not the place where the object is located. URL links break often and must be updated when an object moves to another location. DOI links are under the control of the rights holder or an authorised representative which avoids broken links in most cases.
  The DOI system is used by many publishers and the great majority of science articles currently are assigned a DOI. With DOIs rather than location based identifiers (URLs) it is possible to manage copyright assets more effectively and with greater precision. DOIs also form a key component of certain reference-linking systems such as CrossRef.

• How can I apply a DOI for my dataset via the TRR228DB website?Click to expand/collapse
  You are able to apply a DOI in your user home with the 'Apply DOI' feature. In this section all in the TRR228DB stored datasets are listed of which you are the metadata creator and which do not have a DOI yet. Please keep in mind to apply DOIs only for important datasets and consider that the supply of TRR228 DOIs will take a couple of days.

TRR228DB Temporary Share

• What is the aim of the TRR228DB Temporary Share?Click to expand/collapse
  The aim of the TRR228DB Share is to enable a secure, temporary exchange of data. All data that does not need to be stored in the TRR228DB can be exchanged between the different project sections of the TRR228. Only authorized TRR228 users are able to upload/download their project data into the TRR228DB Share. Every user is allowed to store data in his specific project section folder. Furthermore, they are allowed to read data in all other section folders.
• How can I apply a DOI for my dataset via the TRR228DB website?Click to expand/collapse
  1. Before uploading, organize your data locally. Make sure it is sorted and has a meaningful title, then compress it.
  2. Store your data in the corresponding TRR228DB Share folder via an FTP client like WinSCP or FileZilla. Keep in mind that only authorized users are allowed to store data in their project section folder. In case you don’t have an account, please contact the TRR228DB admin.
  3. When the data is no longer needed, it is vital that you delete it, as there is no automated cleanup. Do not clog up the server with unneeded temporary data.
• How can I download data from the TRR228DB Temporary Share?Click to expand/collapse
  1. You need to login to the TRR228DB website. If you don't have an account, please contact the TRR228DB admin.
  2. Select 'Share' on the TRR228DB web interface.
  3. Search and Download data files according to project sections. Please note: Only authorized users are allowed to download data from project section folders.
• Are there any size limitations for Files in the TRR228DB Temporary Share?Click to expand/collapse
  The maximum size of each cluster folder is 10GB. Therefore, remove your old data so others can also use the service.

Transdisciplinary Diary

• What is the goal of the TDD?Click to expand/collapse
  The idea of establishing the TDD in the CRC is to complement the quantitative household-survey with qualitative data. The TDD is an online platform where all CRC researchers can enter qualitative data (with attached metadata) regarding central questions of the overall framework of the CRC in a simple and accessible way. The purpose of the platform is to connect individual subprojects, therefore promoting transdisciplinary work, but also it also allows covering individual research questions in all three research countries. Information provided in the TDD is work in progress, therefore not in potential competition with the CRC database which secures finalized data.
  This platform will allow researchers to share and access information that cuts across disciplines and is based on themes that relate to the overall framework of the CRC. For the PhD students in particular, the TDD would be a crucial means to communicate their ideas and observations from the field and to stay informed and get inspired by other projects. A shared platform such as this one will be much more time efficient than contacting each project individually about their preliminary findings and ongoing activities. The database might contain other kinds of information collected in your research area or include interesting observations about a topic you are working on but in a different geographical location which you may not be able to visit yourself. This exchange will facilitate synergies between projects based on different insights surrounding core concepts of the CRC.

  There are several reasons why it is relevant for the CRC as a whole.
  
  Sharing

  • It is an open-ended platform to share information that is relevant for CRC at large and goes beyond the survey.
  • Extending empirical reach by bundling information.

  Inspiration

  • It can be used to gain insight into how other researchers empirically access the overarching topics and concepts of the CRC228.
  • It can inspire and legitimize future research projects for the CRC.

  Interdisciplinarity

  • It may help understand how researchers with different academic backgrounds engage with key themes of the CRC, e.g. future-making in different disciplines.
  • It can strengthen and highlight interdisciplinary links within the CRC between different projects.
• Where can I access the TDD tool and how can I use it?Click to expand/collapse
  All available diary entries are listed under 'Diary'. New entries can be created in your User Home under 'New Diary'. Please note that you need to be logged in to use these features.

• Who is allowed to use the TDD tool?Click to expand/collapse
  Only members of the CRC228 are allowed to access the Transdisciplinary Diary tool. Therefore, all functions of the TDD are only visible for members who are logged in with their TRR228DB user account.

Technical Issues

• There are display issues on the site! What can I do?Click to expand/collapse
  Try to reload the page with an empty cache (hit Ctrl+F5 or Mac+F5 to do so) or clear the cache in your browser settings. In most cases, display problems should disappear then. If problems persist, contact the TRR228DB admin.
• What are the reasons for not displaying any maps in the TRR228 Viewer?Click to expand/collapse
  There could be several reasons for not displaying any maps in the TRR228 Viewer:

  • The Port (6080) of the Webserver could be blocked. Check your firewall or contact your admin to unlock the port. You can also use a VPN Client to circumvent this problem. Further information about using a VPN Client can be found here.
  • Please ensure that you have the Adobe Flash Player Plugin installed.
• I want to download a single file from the file list. Why doesn't the download start?Click to expand/collapse
  For technical reasons, several checks need to be performed before the download starts. Especially for larger archives, this process may take up to thirty minutes. Your download will begin once those checks have been completed.
